The Contracts Administrator is responsible for the administration of contract files and documents to ensure timely and accurate customer billings and collections.
Job Duties and Responsibilities:
1. Review contract job packages for accuracy and policy compliance. 2. Set up contracts in Spectrum with revenue/expense budgets. 3. Process Preliminary Lien Notices when necessary. 4. Maintain and administer subcontractor agreements; facilitate the creation of new subcontractors in Spectrum 5. Enter contract change orders. 6. Process new customer setups. 7. Process Certificate of Insurance as required. 8. Facilitate approval and signing of customer contracts. 9. Other job related duties as assigned. 10. Creation and maintenance of contractor project files. 11. Acquire knowledge of sales and use tax regulations for states where work is performed; maintain a database for distribution to appropriate personnel. 12. Other responsibilities as assigned.
Physical and Mental Requirements:
1. Must be self-motivated, positive in approach, professional and help to create, develop and implement process improvement(s). 2. Must promote the Company culture and mission to all employees, vendors, clients and business partners. 3. Must possess proven problem solving skills, critical thinking skills and the ability to effectively read, write and give oral direction(s) to project personnel. 4. Must have proven mid skill level to interpret project documents, including but not limited to, timesheets, spreadsheets and billing documents. 5. Must be able to travel within branch territory and/or regional territory as needed. 6. Must possess the ability to learn Company and customer project management systems.
Education, Certification, License, and Skill Requirements:
1. High school diploma or equivalent is required; AA degree a plus 2. Strong computer skills, including practical knowledge of spreadsheets, word processing and accounting software 3. Strong verbal and written communications skills are necessary 4. Five or more years of experience in accounting positions, including a minimum of two years’ experience in billing, collections and contract administration.
